1. Who we are and what this policy covers

Clarum Pty Ltd (ABN 83 681 465 305) is a CPA Practice and registered tax agent. This policy explains how we collect, hold, use and disclose personal information, including tax file numbers, in line with the Australian Privacy Principles, the Privacy (Tax File Number) Rule 2015 and our confidentiality obligations under the Tax Agent Services Act 2009.

2. What we collect

Names, contact details, dates of birth and identity documents; tax file numbers; income, bank, payroll, superannuation and investment records; business financial data from your accounting software; and information about your employees where we run your payroll. We only collect what we need to provide our services.

3. How we collect it

Mostly from you, through our forms, Resource Centre uploads, meetings and email; from the ATO and other agencies with your authority; and from connected software such as Xero and your bank, when you connect it.

Our website uses Google Analytics to count visits and see which pages are useful. It sets cookies and records information such as the pages you view, your browser and your approximate location, but not your name or contact details. Advertising features are switched off. You can opt out with Google's browser add-on or by blocking cookies.

4. Why we use it

To prepare and lodge returns and statements, provide accounting, payroll, cash planning and advisory services, verify your identity, meet our legal and professional obligations, and keep you informed about your work.

5. Tax file numbers

We collect and use TFNs only as tax, superannuation or personal assistance law allows. Access is limited to the people who need it, TFNs are never sent in plain email, and we destroy or de-identify them when no longer required.

6. Who we share it with

The ATO and other government bodies as required; software providers we use to deliver our services; and anyone else you authorise. We do not sell personal information.

7. Overseas storage

Some of the cloud software we use to deliver our services stores information outside Australia, mainly in the United States. We choose providers with strong security and contractual protections.

8. How we keep it secure and how long we keep it

Encrypted systems, multi-factor authentication and access controls. We keep records for as long as the law requires (generally five years for tax records), then destroy or de-identify them.

9. Data breaches

If a breach is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

10. Accessing or correcting your information

You can ask to see or correct the personal information we hold about you. We will respond within 30 days.

11. Complaints

Contact our Privacy Officer first. If you are not satisfied with our response, you can complain to the OAIC at oaic.gov.au.
